Admission calling is a conversation with a student and usually a parent. The counsellor job is to understand the goal, match the right course and make the next step easy: a demo class or a campus visit.
1. Opening
“Hello, am I speaking with [Name]? This is [Your name] from [Institute]. You enquired about [course]. May I take two minutes to understand what you are looking for?”
2. Understand the student
- Which class or exam are you preparing for?
- What is your target and when is the exam?
- Have you taken coaching before? What worked and what did not?
- Are you looking for classroom, online or hybrid?
- Who else is involved in the decision?
3. Match the course
Describe one batch that fits their answers: timing, faculty, test series, doubt support. Offer to send the brochure and fee structure on WhatsApp.
4. Fee and trust objections
- “Fees are high”: explain what is included, installment options and scholarship rules if any.
- “Other institute is cheaper”: ask what they have seen and invite them to compare with a demo class.
- “Need to ask parents”: offer a call or a visit that includes the parents.
5. Close with a demo class or visit
“We have a demo class on Saturday at 10 or Sunday at 11. Which suits you better?” Confirm and send the address and timing on WhatsApp.
6. Follow-up plan
Day 0: brochure and demo details. Day 1: reminder before the demo. Day 2: feedback call after the demo. Day 5: admission deadline reminder. Every status should carry a next follow-up date.
Tips for admission season
- Call new enquiries within minutes, not hours.
- Spread leads evenly across counsellors.
- Record calls and review fee conversations weekly.
